Two Document Sets — Not One
Most guides list only the IGCCD scholarship documents. What they miss is that you also need a separate document set for the university application (UK or Australia) — and these two sets have different requirements, different formats, and different timelines.
This checklist covers both. Work through Category A first (IGCCD portal documents), then Category B (university application documents). Both sets should be ready at the same time.
Why Document Errors Are the Number One Reason Applications Fail

In our experience guiding Karnataka SC/ST students through the Dr. BR Ambedkar International Scholarship process, the single most common reason an eligible student loses their application cycle is not ineligibility. It is a document error — a name mismatch, an expired certificate, a scanned file that is too small, or a missing Aadhaar-bank link that holds up the entire disbursement process.
None of these errors are complicated. Every one of them is avoidable if you know what to check before submitting. This checklist is designed to be that resource. Go through it document by document before you open the IGCCD portal.

Category A: IGCCD Scholarship Portal Documents
These documents are uploaded directly to the IGCCD Karnataka portal at igccd.karnataka.gov.in as part of your scholarship application. Every document in this category must be ready before you begin filling the portal form.
What is needed
Original Aadhaar card — front and back as a single scan or PDF
Critical requirement
Aadhaar MUST be linked to your bank account before submitting. Scholarship disbursement is through Direct Benefit Transfer (DBT). If the link is not active, the scholarship cannot be paid even after approval. Check this at any bank branch or via the UIDAI portal before applying.
Name check
The name on your Aadhaar must exactly match the name you enter in the IGCCD portal form. Check spelling, initials, and name order before submission.
2. SC/ST Caste Certificate
MANDATORY
What is needed
Caste certificate issued by Karnataka revenue authority — Tahsildar or Deputy Commissioner of your home district
Common errors
Certificates issued from other states are not accepted. Expired certificates are not accepted. Certificates without a Revenue Department number (RD number) are flagged by IGCCD. If your certificate is older than 12 months, renew it before applying — renewal takes 2 to 4 weeks from Karnataka revenue offices.
Name check
Name on the caste certificate must exactly match Aadhaar and the IGCCD portal entry. Any variation causes a verification flag.
What is needed
Annual family income certificate issued by Karnataka revenue department (Tahsildar). Must be current for the ongoing financial year.
Common errors
Income certificates from a previous financial year are commonly rejected. If your certificate is from before April 2026, get a fresh one now. The process takes 1 to 3 weeks.
Note
The current Dr. BR Ambedkar International Scholarship under IGCCD does not apply fixed income ceiling slabs in the same way the old Prabhuddha scheme did. The income certificate is required as a supporting document regardless of income level. Call 1800 102 9968 to confirm the current income treatment for your specific situation.
4. Karnataka Domicile / Permanent Residency Proof
MANDATORY
What is needed
Proof of permanent residence in Karnataka. Aadhaar card with Karnataka address is typically accepted. A domicile certificate from the Karnataka revenue department is the strongest document.
Also accepted
Ration card with Karnataka address, voter ID with Karnataka address, or SSLC/PUC certificate from a Karnataka institution showing Karnataka address
5. Undergraduate Degree Certificate and All Mark Sheets
MANDATORY
What is needed
Final degree certificate (or provisional certificate if final is not yet issued) plus mark sheets from every semester or year of your undergraduate program
Common errors
Submitting the final year mark sheet only — without all semester or year-wise mark sheets — is one of the most common document errors. IGCCD and universities both require the complete set. Count your mark sheets before uploading.
If results not yet declared
A provisional certificate is accepted for the IGCCD application if your final results are declared and mark sheets are available. Contact IGCCD or Easy Admissions to confirm for your specific situation.
What is needed
Valid Indian passport — front biographical page and last page scanned together
Critical requirement
Passport must be valid for at least 2 years beyond your intended course start date. If you do not have a passport, apply immediately — standard issuance takes 4 to 6 weeks, Tatkal takes 1 to 2 weeks. Do not delay this.
Name check
Passport name must match Aadhaar and caste certificate exactly. Any mismatch between these three documents will cause verification problems at both IGCCD and the visa stage.
7. Bank Account Details (Aadhaar-Linked)
MANDATORY
What is needed
Account number, IFSC code, and bank name. A cancelled cheque or bank passbook front page scan is the standard document for this.
Critical requirement
This bank account must be linked to your Aadhaar and must be in your own name (not a parent or guardian account). Scholarship disbursement through DBT goes directly to this account. Using someone else's account is not permitted.
Category B: University Application Documents (UK and Australia)
These documents are required for the university application — not the IGCCD portal. They must be prepared simultaneously with Category A. The offer letter produced at the end of this process is what completes your IGCCD scholarship application.
8. Statement of Purpose (SOP)
UNIVERSITY
What is needed
A 500 to 1,000 word personal statement explaining your academic background, why you are applying for this specific course, and your career goals. Different universities have different SOP formats — Easy Admissions prepares a tailored SOP for each institution.
Common errors
Using a generic SOP for multiple universities without tailoring. Mentioning scholarship status in the SOP (this is not required and can complicate the university's assessment). Exceeding the word limit.
9. Letters of Recommendation (LOR)
UNIVERSITY
What is needed
Typically 2 to 3 academic or professional reference letters, on official letterhead, signed by the referee. UK universities generally accept 2 references. Australian universities often require 3.
Who to approach
Former professors or HODs from your undergraduate institution are the strongest choice. Employers or supervisors are accepted for professional experience references. Approach referees at least 3 weeks before you need the letters — do not leave this to the last week.
10. English Language Proficiency Proof
UNIVERSITY
What is needed
IELTS Academic (typically 6.0 to 7.0 overall), TOEFL iBT (typically 79 to 100+), or PTE Academic (typically 58 to 65+) score report
MOI waiver route
If your entire undergraduate degree was taught in English, some UK and Australia universities accept a Medium of Instruction (MOI) letter from your university's Registrar as a waiver. This letter must be on official letterhead, signed, and state clearly that the medium of instruction was English throughout your program. Score validity
IELTS and TOEFL scores are valid for 2 years from the test date. If your score is more than 2 years old at time of application, you must re-sit the test.
What is needed
A 1 to 2 page academic or professional CV covering your educational background, any work experience, research projects, publications, awards, and extracurricular activities
Note
Required by most UK universities. Australian universities may request a CV for research programs and PhDs. Easy Admissions reviews and reformats CVs to match international standards before submission.
12. Passport-Size Photographs
BOTH TRACKS
What is needed
Recent colour passport-size photographs (white background, no glasses, taken within the last 6 months). Keep at least 10 copies — you will need them for the IGCCD portal, university application, visa application, and pre-departure paperwork.
Scan Specifications — What IGCCD Accepts
Many applications fail at the upload stage because the scanned documents do not meet portal specifications. Follow these guidelines for every document you upload:
Specification
Requirement
File format
PDF or JPG. PDF is preferred for multi-page documents (mark sheets). JPG for single-page documents and photographs.
File size
Most government portals cap uploads at 200KB to 500KB per file. Compress files before uploading using a free online PDF compressor. Ensure text remains clearly readable after compression.
Resolution
Scan at 200 to 300 DPI minimum. Lower resolution makes text illegible and causes verification failure. Higher resolution creates files too large to upload.
Orientation
All pages must be right-side up. Rotated or upside-down scans are rejected. Check every page after scanning.
Colour
Colour scans preferred for certificates with stamps and seals. Black and white is acceptable for plain text documents like income certificates.
Photograph upload
Typically JPG, 20KB to 50KB, white background, plain face. Do not use a cropped photograph from another photo — take a dedicated passport photo for portal upload.

The Name Consistency Rule — Check This Before Anything Else
Before you submit a single document, compare the name as it appears on each of these four documents:
Aadhaar card | Caste certificate | Passport | UG degree certificate
They must all show exactly the same name — same spelling, same initials, same name order. If there is any variation between them, resolve it before applying. Name corrections on government documents take weeks. If you submit with a mismatch, IGCCD will flag the application and it will not move forward until the discrepancy is explained or resolved.

Frequently Asked Questions
How many mark sheets do I need to submit?
All of them. Every semester or year-wise mark sheet from your entire undergraduate program must be submitted — not just the final year. A 3-year degree will have 6 semester mark sheets or 3 year mark sheets depending on the university's examination system. Count them before uploading.
My caste certificate is in Kannada. Does it need to be translated?
For the IGCCD portal, a Kannada-language Karnataka caste certificate is accepted as issued. For the university application (UK or Australia), universities typically require English language documents. Easy Admissions arranges certified translations of Karnataka government documents where required for the university application.
Can I submit photocopies or do all documents need to be originals?
For the IGCCD portal, scanned copies uploaded digitally are accepted. For the university application, most UK and Australia universities accept clear scanned copies at application stage. Original documents are typically required only at enrolment, once the offer is accepted. Easy Admissions advises on attestation requirements for specific universities where applicable.
What if my name is different on my Aadhaar and my degree certificate?
This is a serious issue and must be resolved before applying. Options include updating your name on Aadhaar via the UIDAI portal (takes 2 to 4 weeks), or getting a gazette notification for the name change, or obtaining a sworn affidavit from a notary explaining the discrepancy. I do not have IELTS. How long does it take to get a score?
IELTS test slots in Karnataka (Bengaluru, Mysuru, Mangaluru, Hubli) are typically available 2 to 4 weeks out. Results are released 13 days after the test date. So from registration to results takes approximately 4 to 6 weeks.
